Enchanted Mountain Retreats provides you with all your vacation cabin rental property management needs for owners and guests. Offering services ranging from owner and guest consultation, to guest reservation, screening and affordable vacation planning. 

We have Residential Services available to owners for cabins, residential homes and condominiums located in the Northeast Georgia region. Our services range from regular maintenance, all the way to interior design and building construction consultation.

A joint endeavor between the owners, guests and our team creates the foundation for a successfully rented and well maintain property. Our highly qualify hospitality team will work year round to ensure your investment is carefully protected, while being promoted internationally, thus increasing the potential for a lucrative return.

In order to capture the largest possible amount of rentals Enchanted Mountain Retreats employs advance web-base rental software that allows potential guests to book and complete all transactions online. Additionally, our system gives you complete oversight of all operations taking place in real time. You will have access to comprehensive owner’s reports and many other useful features.

FREQUENTLY ASKED QUESTIONS ABOUT THE PROPERTY MANAGEMENT PROGRAM:


Q:    What is your commission?
A:    Our commission is 35% of your total rentals for the month according to the check in date.

Q:    Is there a set up fee to get started?
A:    There is a $250.00 initial set up fee to get your property listed for rental on the website.  We will send housekeeping associate to the property to make sure everything is renter ready. The fee of which will depend on the property. There is a $35.00 charge for providing and installing a cable and lock for the hot tub.

Q:    Can we rent the property ourselves?
A:    No.  Our company will only handle properties that we rent exclusively.

Q:    What is the length of your contract?
A:    You have the right to dissolve this contract anytime with a 30-day notice.  We ask that you give us the 30-day notice so that we can accommodate any advance bookings that we may have and find a comparable lodging for the ones further out than 30 days.

Q:    Are there any other charges?
A:    There is a annual charge of $180.00 for garbage disposal.  There is also a charge of $75.00 per quarter for pest control.  A charge for yard maintenance can be arranged if your property needs that service.

Q:    Do you charge me to wash the linens?
A:    No.  We wash the linens in your home and there is no extra charge to you.
 
Q:    Are the property owners charged for cleaning the property after guests leave?
A:    No.  The guest pays a cleaning fee each time they stay with our company.  This fee covers the general cleaning of the property, paying the housekeepers, as well as the cleaning of the hot tub and the chemicals.  It also pays for an initial supply of paper towels, toilet tissue, soap, dish soap, and garbage bags.  However, property owners do need to provide a vacuum cleaner, broom, mop, bucket and a supply of light bulbs.  (See the attached suggested contents list.)

Q:    When do property owners receive their rental check?
A:    Owners receive their rental check the very first week of the month following the rental month.  If there is no activity, owners will not receive a check but will receive statement.  If the deductions for that month are more than the proceeds, you will not get a check until the amount of the proceeds is greater than the amount of the deductions.

Q:    What is your occupancy rate?
A:    Occupancy rate is a very difficult question to answer as each property is different.  Tourism depends on many factors including gas prices, weather conditions, economy, etc…
    The amount of time an owner blocks the property for their personal use plays a major role in the rental performance.  We can advise you that our busy seasons are summer and fall.  Winter and spring are traditionally slow; however, we are seeing a steady increase in rentals during those times.

Q:    What can we expect as far as the rental rate?
A:    The rental rate depends on the setting and what amenities the property has to offer.  Once we view the property, we can determine what we feel would be an appropriate competitive rate.

Q:    Where do you advertise?
A:    Most of our customers come from our web site and website network.  We have special promotions advertised in newspapers and magazines. In addition, we maintain partnerships with several businesses covering Latin America, Canada and Europe.

Q:    Who cleans when a property owner or a friend uses the property?
A:    As the owner of the property, you may clean yourself and we will clean the hot tub for only $20.00, as long as you maintain our housekeeping standards.  If you want our staff to clean the property, then you pay the same cleaning fee that is charged to the guest.  The cleaning fee covers the general cleaning of the property and the hot tub.  The cleaning fee may be paid during check out or deducted from your monthly proceeds.  Friends or relatives do not have the option of cleaning the property.  You as the owner will either let us know if they will pay the cleaning fee during check in or if you want it deducted as well.
 
Q:    How do I reserve the property for friends or myself?
A:    For an owner rental, call or e-mail one of the Vacation Specialists and let them know the dates that you want to come and if you will clean the property or if we need to schedule it to be cleaned by our staff.  If you are going to clean the property we will automatically schedule someone to clean the hot tub.
    For a friend to use the property, call and see if the dates they want are available.  If the dates are open, provide the name of the person coming and their address and phone number to the Vacation Specialist. A key and directions to the property will be provided to them like a regular guest.  This makes your friends aware of whom to call if they encounter a problem while staying at your property.  Some owners reserve their property in advance so that a guest does not reserve the dates they want.  Other owners wait until the last minute in hopes that the property will rent. 

Q:    Do you charge me for the lost commission when I use the property?
A:    No.

Q:    Is there a certain geographical area more popular than others?
A:    It has been our experience that one geographical area is not more popular than the next.  However, the setting is very important.  Settings most desired are Mountain View or water front.

Q:    Is the Hot Tub mandatory?
A:    Yes.  It is very difficult in this market to rent a home without a hot tub.

Q:    How often do you service the hot tub and do I pay to have it serviced?
A:    We dump and clean the hot tub after every rental.  We pay for the chemicals and for servicing.  There is NO extra charge to the homeowner.
 

SERVICES PROVIDED BY

ENCHANTED MOUNTAIN RETREATS


Enchanted Mountain Retreats units are required to maintain a minimum inventory, which is outlined in the “Required Inventory” attached hereto.  Upon acceptance of the management contract, the owner must provide EMR with a completely stocked unit according to the inventory.  As needed to maintain this inventory, during the term of the management agreement, EMR will provide replacements for the following items and the owner will be billed:

1.    Sheets and pillowcases
2.    Towels and bath mats
3.    Vacuum cleaner bags
4.    Keys
5.    Dishes, Glassware and Utensils
6.    Pot holders, Placemats, Kitchen Towels and dishcloths
7.    Light bulbs, Hangers
 

HOUSEKEEPING

 

Check out cleaning and laundry services after Guests
There is no charge to owners for cleaning after a paid guest.  The guest renting the home pays the cleaning fee.

Owners have the option of cleaning the cabin after their visits or they may pay Enchanted Mountain Retreats to clean.  If the owner has used the hot tub, Enchanted Mountain Retreats will service the hot tub and the owner will be billed. 

The owner has the option of cleaning after their friends or family or the owner may arrange for Enchanted Mountain Retreats to clean.  Enchanted Mountain Retreats will service the hot tub and the owner will be charged.  Friends and family are not allowed to clean the property; it may only be cleaned by the homeowner or Enchanted Mountain Retreats.

Enchanted Mountain Retreats will “DEEP CLEAN” the home on an as needed basis.  There is a deep cleaning checklist used by housekeeping included in this booklet.  Owners will be charged based on the length of time housekeeping spends on the deep clean.  Owners may perform the deep clean if they wish, and this should be accomplished between Jan. 1st and Mar. 31st.

Enchanted Mountain Retreats has property managers on that inspect the property after it is cleaned.  We receive many compliments on the cleanliness of our cabins.

Enchanted Mountain Retreats completely drains all hot tubs after every rental.  The tubs are sanitized, filters cleaned, tubs refilled and chemicals added.  This is done at no charge to the owner after a paying guest rental.  After an owner uses or owner guest uses the same procedure is followed.  There is no additional charge to the owner if the owner is paying Enchanted Mountain Retreats to clean the property.  If the owner has elected to clean the home, Enchanted Mountain Retreats will service the hot tub, and a $20.00 charge will be billed to the owner.

Enchanted Mountain Retreats will help owners set up and arrange the property in order to maximize income and keep costs to a minimum.  Said service to include recommended furnishings, color patterns, and any innovative and cost saving measure designed to enhance rental revenue.


 MAINTENANCE

Enchanted Mountain Retreats has its own maintenance contractors and is equipped to handle all maintenance issues within your property.  These include repairs, yard work, grass cutting, pressure washing decks, etc…  We also have a list of qualified and trustworthy vendors for major maintenance items, appliance repair, HVAC, etc…  All charges for the repairs and services are billed to the owners.
 

MARKETING

Enchanted Mountain Retreats will provide owners with various marketing programs designed to enhance rental income.  In addition to the extensive marketing program already in place including a full presence on the Internet, we offer the following services to you at no charge:

1.    Property listing on our website and a rich website network for vacation rental properties. (Please ask for a list)
2.    Various advertising programs in periodicals and newspapers
3.    Color photographs of the property
4.    Discount or promotional packages
5.    Full page company advertisement in the several Chambers of Commerce     
6.    Online booking 24/7 and assistance by phone Monday through Sunday 8:00 Am to 8:00 PM
 

ENCHANTED MOUNTAIN RETREATS’ RESPONSIBILITIES:


1.    Cleaning fees for paying guests
2.    Credit Card Fees
3.    Collection of Sales and Lodging tax.
4.    Advertising and promotion for your rental property.
5.    Laundry services
6.    Bar soap, paper towels, dishwasher detergent, garbage bags and toilet tissue for paying guests
7.    Securing reservations and tenant payments
8.    Hot tub cleaning and sanitation for paying guest
9.    Emergency repairs (owner’s expense)
10.    Owners will receive monthly statements and 1099 Form at the end of the fiscal year
11.    Owner’s checks are mailed by the end of each month.

8.  Promotional Marketing
•       Owner to allow Enchanted Mountain Retreats 7 days for promotional use; travel agent familiarization, marketing, promotions, advertising, etc…   These days will not include Holidays or peak periods.

Provides reimbursement for unused, nonrefundable payments if your trip must be canceled or interrupted.
